Full Service vs. Day Of Coordinators for your Lake Tahoe Wedding

View More: http://jenn-wagner.pass.us/mattandcristinaAre you tying the knot and decided you need some help planning the details of your Lake Tahoe wedding? You have come to the right spot. Planning events and weddings in Lake Tahoe is our specialty!

Nowadays, there are a few kinds of wedding coordinators with the main being full service (which means start to finish) and then day of. Recently, we were discussing with a local vendor an experience she had when trying to communicate with a non-local day of coordinator. She was flabbergasted at how little the day of coordinator knew about the timeline of events for the wedding day and she asked us why a bride would choose a day of coordinator over a full service coordinator. It comes down to two things: Cost and or wanting to enjoy your wedding day without having to deal with details and planning. Lake Front Wedding & Events has created a variety of packages within each budget so that brides get what they really want-a full service coordinator within their price point. We still thought it was an interesting topic to cover. After all, if a vendor has this question, we are sure there are brides to be that are pondering the same thing.

What does a full service wedding coordinator do?

A full service wedding coordinator helps the bride and groom plan their wedding from start to finish. Their whole goal is to bring the day of your dreams to life. A full service coordinator helps couples plan their budget and then pick a venue and vendors based on that information all the while keeping in mind the vision the couple has for their big day. Keep in mind that the word “vendors” include everything from the minister to the musicians to the cake baker to the photographer to the hair stylist and everything in between. Their job does not end there though. In the months leading up to the wedding, they act as a liaison for the couple by organizing all the details required from and for everyone involved. Additionally, they help create the style of the wedding, obtain the décor items and then decorate accordingly. The day of the Lake Tahoe wedding, the full service coordinator is on site early to not only set up, but communicate details, make sure everyone is accounted for and in their spots at the right time as well as stay for tear down. They also act as the wedding 911. Did a bridesmaid’s dress rip? Or did a groomsmen spill on his white shirt before the photos? These are all wedding stressors that a coordinator is well versed in and can act on quickly, minimizing damage control. Truly, a full service wedding coordinator is there for the bride and groom every step of the way. Which, when you think about it, is priceless when this is one day and one memory that you can’t get back.

A day of coordinator is someone you get for one day only. Typically, the communication will start about a week or two ahead of time and they will obtain the vendors contacts to confirm details for the big day. The day of, they will be on site to basically act as the couple’s assistant. Their main goal is to oversee set up and communication with the vendors, make sure everyone is accounted for and in their places according to the timeline so that photos can be taken and the events can start on time. Once the ceremony, cocktail hour and reception are finished, they will oversee the tear down of the event.

Now, if you are a bride that wants to plan every step of your Lake Tahoe wedding, then a day of coordinator could be a good pick. However, keep in mind that day of services can cost almost as much as a full service coordinator. If this is you, consider picking a full service coordinator and letting them know you want to do a majority of the planning. They can still be of great help as they are a fountain of all things wedding knowledge. They can suggest venues and vendors as well as helpful hints along the way and then be on site for the big day so you can enjoy it with no stress.

Why Every Bride Should Hire A Lake Tahoe Wedding Coordinator

lake tahoe weddingsCongrats! You are getting married in Lake Tahoe. The proposal has taken place, the date has been set, now what? Planning a Lake Tahoe wedding, whether it is a destination wedding or local, encompasses so many details both major and minor. One of the main aspects of a wedding coordinators job is to make sure all those details are not only recognized, but planned and executed flawlessly. If you have been tossing around the idea of getting a Lake Tahoe wedding coordinator for your wedding, we listed a few reasons why their services can be beneficial!

Coordinators know all about the local vendors

Wedding coordinators have worked with all the local vendors, which has some fabulous perks for you. Reason # 1 being that they will be able to give you personal testimonies on a variety of vendors. Reason #2 is that they can tell you which well-known vendors can work within your budget. These two reasons alone save you time researching all the different vendors as well as making you privy to some behind the scenes details you can’t find out from Yelp.

You have someone to help you stick to the budget

One of the hardest aspects of coordinating your wedding is money. First you have to decide what the overall budget is. Then you have to decide the budget for each category. A wedding coordinator is basically the event financial advisor. An extra perk is the connections they have with local vendors as stated above. They will have a good idea right off the bat how much you will be spending in each area and how the money can be handled. For example, they can tell you which vendors are ok with taking payments and which ones need to be paid up front in order to secure products and services.

You don’t have to stress about forgotten details

One of the main aspects of a wedding coordinators job is the details! Wedding checklists can be lengthy, think several pages long. So if you are worried you might forget something, it’s justified. Luckily, wedding details are something coordinator knows like the back of their own hands. They can not only help remind you what needs to be done, but when. They will be aware of the deadlines so you don’t have to stress and worry about something falling through the cracks.

You need help making the day of your dreams a reality

This is truly the favorite part of a wedding coordinators job and why they are in business. So much goes into creating an event specific to two people. Each couple has a style that represents them and a wedding should do the same. Coordinators know all the latest trends as well as the floor plan of each venue so they can easily help you bring the wedding you have visualized in your mind to life. From the style, to the mood, to the venue and everything in between, a coordinator will know exactly how to make your wedding worthy of Pinterest.

Most importantly, they take care of everything so you can enjoy your Lake Tahoe Wedding

Making a wedding day perfect takes a lot of hard work and time. Keep in mind the old saying “Practice makes perfect”. A wedding coordinator has executed a wedding multiple times and therefor will be able to make sure your day goes off without a hitch so you can get hitched with no issues. You deserve to have a day that is all about the love you and your future spouse have for each other.  With so many details happening behind the scenes to make that happen, it can take away from being able to enjoy every second of your wedding day.

We are here to help you plan your wedding in Lake Tahoe and have a lot of fabulous photographers to choose from.

What’s In / What’s Out For Your Lake Tahoe Wedding?

Nashville-wedding-caterer-dessert-table-1Your wedding is your special day, so do it your way!  Many of our couples are enjoying a new found freedom on their wedding in Lake Tahoe because they’re are doing things that not only make them happy, but make financial sense.

Here are a few ideas that can save you money but they’re also the popular trends in weddings today.

Smaller Cakes are In, Larger Cakes are Out

There is no need to have a huge 4-tier cake at your wedding.  While it may be gorgeous to look at, many people just don’t eat cake any more. A large cake can cost a few hundred dollars so a less can be spent on things people will actually eat.

We’ve been seeing our Lake Tahoe brides opt for a small sweetheart cake just for the bride and groom with a cheaper sheet cake cut in the kitchen and shared.  Or, you can have cupcakes, candy or even cookies.  A little sweet treat is appreciated, but no need to go to the trouble of a large cake unless of course that is what you want!

Turn Your Rehearsal Dinner Into a Beach Picnic

Historically the groom’s parents would foot the bill for the rehearsal dinner.  This is changing as we’re seeing bonfiremore and more of our couples taking care of the wedding costs themselves.  A dinner the night before a wedding is a great way to share in the magic of the upcoming ceremony, but why not move it from a restaurant to the beach?

This is beautiful Lake Tahoe, and the beach is one of our favorite places to enjoy the lake from. We have great beaches that can become location of your rehearsal picnic.  You can go as simple or as fancy as you want, but either way the expense will normally be much less than at a restaurant. We even have a caterer who can roast you a pig and make it a luau!

Picnic tables with linens and mason jar candles, blankets on the sand with sandwiches or even candlelight wine and cheese party are just a few ideas.  Or, how about a hotdog and marshmallow roast and a fire pit? Not all beaches allow alcohol and fire restrictions in some areas will prevent an outside fire…you’ll have to research castleton-camp-dinnerthose options if desired.

Eliminate the Hosted Bar

We’re seeing that hosted bars just aren’t happening as much. We are starting to see more hosted champagne toasts along with a cash bar.  The bride and groom pay for the champagne for their guests but then if any other drinks desired they can purchase them.

Perhaps the wedding couple decides on no alcohol….this is perfectly acceptable too.

Eliminating the hosted bar can save you a lot of money on your Lake Tahoe wedding reception!

One Key Part of Your Lake Tahoe Wedding: Transportation

lake-tahoe-wedding-limoWe agree, transportation isn’t the most romantic topic when discussing Lake Tahoe weddings but it is a key component for our coordinators when putting together your wedding package.

There are many aspects of transportation, from getting guests from the airport to getting them to and from your ceremony and reception locations.

Destination Wedding Transportation

Since most of our weddings are destination weddings you’ll have guests and members of your wedding party traveling to Lake Tahoe.  Perhaps they’ll be flying into Reno Tahoe International Airport. That is 65 miles away and local hotels do not have free shuttles. You don’t have to arrange transportation for your guests to get to Lake Tahoe but it is always helpful to have suggestions.  There are rental cars and a company that offers several airport shuttle rides a day (for a fee) as well as cab companies.

Some of our beautiful Lake Tahoe wedding venues have limited parking available.  Our coordinators main-logowill work with our vendors to get the transportation that works best for your wedding.

Shuttle Buses – We work with a local shuttle company that has a 20  passenger van.  While this size works for a lot of wedding party needs it many not be enough for yours.  They can shuttle guests from lodging locations to the ceremony and reception locations.  Guests don’t want to get to a wedding location too early (30 minutes max is suggested) so you have to coordinate the shuttles to get everyone to the wedding in the required amount of time.  This will also necessitate knowing where all of your guests are staying.

Limos – If you just need a ride for the bride and her party, or for the bride and groom, a limousine is a great solution.  This is where our relationship with our vendors comes into play. We know they’ll take of our couples on their special day!  Since they seat up to eight people they aren’t normally used for transporting guests to the wedding and reception.  Another thing not to forget:  if the bride and her party take a limo to the wedding, normally its the bride and groom who leave (or the limo isn’t used at the end).  Don’t forget those people will need a ride back to the hotel.

Charter Bus –  You can get a bus that seats up to 60 people. What’s great about a bus is their ability to get your whole group to each location and not have to go at staggering times.  This is logistically easier but carries a higher cost with the convenience.

Coach Limos – Since Lake Tahoe has so many weddings, special events and high rollers, coach limos are easily found. These larger and fancy coach buses have many uses during your wedding celebration in Lake Tahoe. They can be used for rehearsal dinners as well as taking groups to and from the wedding and reception. The coach limo can normally fit up to 18 people so a fairly decent group can fit in one ride.

Lake Tahoe Wedding Coordinators

Our coordinators handle transportation on almost every wedding they plan in Lake Tahoe, from a wedding for two in Emerald Bay to large groups at both the Estate Venue and Historic Private Estate Venue.  They will help you evaluate your needs and plan the schedule.

Lake Tahoe Wedding Flowers, No Matter What the Season

lake tahoe wedding flowersNo matter what time of year you choose to have your wedding in Lake Tahoe, our talented florists can find the flowers perfect for your colors, theme and wedding venue.

Lake Tahoe Wedding Flowers

Lake Tahoe couples enjoy a wide variety of flowers and colors, from whites and pinks to oranges, reds and purples.

No need to worry about the season, because if your favorite flower is out of season we can find a fabulous substitute!  You can also add succulents, wood, fruit and other fantastic fillers, both living and not living, that our award winning florists can use.

Ceremony flowers

Your wedding ceremony is a great opportunity to add your personal touch with the use of flowers. You can add a spray on the arch like many of our brides do, especially at our beach weddings, add buckets of flowers on the chairs and petals down the aisle.

-Shepherds Hooks:  These work great at our outdoor weddings at the beach and the park.  You can hang many things from the hook but a ball of flowers or even mason jars with candles and or flowers look amazing too!

– Buckets in the aisle:  Shabby chic weddings are the perfect time to bring out the buckets of flowers in the aisles, but they will also work well with almost any theme! Its another great way to put in your colors into your wedding ceremony.

– Lawn art with colored petals:  Flower petals casually strewn about work well but we’re also starting to see actually art out of the petals from the word “Love” or the couple’s names, or even a big heart.

Personal flowers – bouquets and boutonierres

The bride, groom, attendants, flower girl, ring bearer and some relatives are all recipients of either bouquets, boutonierres, hair pieces or wrist bands. Once you know your theme and colors you can then start thinking about what flowers will fit.  If you have no favorites and just know you want “Pink” for example, then our floral designers will find you great shades of pink. If you want an exotic flower than only grows in the tropics in July, it may get costly to find it for your Lake Tahoe wedding, but we’ll offer great suggestions that work just as well.

Reception flowers

This is another great opportunity to add flowers into your wedding. There are so many original places the flowers can be added from the floor to your cocktail and wedding cake.  Our award winning Lake Tahoe wedding florist has amazing ideas and creativity for our weddings in Lake Tahoe year round.

Fall’s Top 10 Pantone Wedding Colors

We have covered some fall wedding trends in a previous blog, but let’s talk color swatches. Yes, color swatches. Doesn’t sound like the most exciting thing to chat about when there are so many other wedding topics to discuss.

Wedding Colors

Cake, food, drinks, décor and hair styles top the list when it comes to the big day, however, these latest color trends are sure to be a hit at your Lake Tahoe wedding.

PantoneLets start with the obvious hits for fall. Aurora red, cypress, cognac and misted yellow are four great colors that are perfect for an outdoor autumn wedding as they really pull in colors from Lake Tahoe’s changing foliage. A fabulous wedding venue that would go great with these colors is Valhalla. Valhalla is a historic location with a rustic lodge vibe that is popular for Lake Tahoe weddings. With the architectural design, wood tones and surrounding outdoor beauty, the color and venue combo would be one for the books. Another great location for a fall wedding and these hot colors is our Beach Front Lawn. Perfect for the intimate outdoor wedding!

Next lets chat about all these purples and blues. While some couples prefer a more subtle color scheme, the purples and blues you see here also look amazing against Lake Tahoe’s big blue backdrop. If you aren’t a fan of the radiant orchid, the mauve mist or sangria are great options. Mauve mist is more subtle while the Sangria falls in line with the popular jewel tone trends that are a hit on runways every year around this time. The best part about these colors is that they look great in the fall as well as the winter. They can become part of a classic theme when paired with black, white or even aluminum. We feel the same way about the royal blue and bright cobalt. A location we love that would absolutely pair flawlessly with these colors is the Luxury Historic Estate. Right on the waters of Lake Tahoe, these dramatic fall colors will pair perfectly with dusk and continue to match perfectly as night falls. You will look back on your wedding photos wondering how you were so flawlessly able to match your Lake Tahoe wedding with Mother Natures color change from day to night.

Don’t fret if these colors are not your first choice for your Lake Tahoe wedding! After all, some prefer a classic black and white wedding while others have been dreaming of incorporating their favorite childhood colors into their big day. Part of why we love our job as Lake Tahoe’s premiere wedding events company is making a wedding specific to each couple. If you are planning a wedding here in Lake Tahoe and are looking for ideas, trends, venues and vendors, give us a call! We would love to walk you through the process and create the day of your dreams.

Adding a golf theme to your Lake Tahoe Country Club wedding

If you’re getting married at either of our golf course wedding venues, the Lakeview Country Club and Mountain View Country Club, you don’t have to have a golf themed wedding. But, if you’re a fan of the game, why not?

You’ve already scored a hole in one by finding each other, so why not share your love for each other in a way that’s not par for the course?

golf course weddings in lake tahoe

We stopped by Pinterest and found these pictures. Here are just a few ideas for incorporating a golf theme into your Lake Tahoe wedding.

  1. Grassy plot with ball marker seat assignments.
  2. Have a little golf set up, or maybe one of our country clubs would let you use their putting green.  At each hole have a little story about the couple.
  3. Grass centerpieces.
  4. Golf balls as part of a centerpiece too.
  5. Home made golf clubs and “rules” for a mini-golf game during the reception.
  6. The course you set up lends itself to some cute photos.
  7. Save the date card is done in Scotish plaid and incorporates the use of a tee.
  8. A poster at the entrance to the reception with flags for each hole (table) and those people sitting at each location.

Lake Tahoe Country Club Wedding

The great thing about planning your Lake Tahoe wedding with Lakefront is that our knowledgeable coordinators can help you add all the personal touches you want, whether its golf oriented or not.  Isn’t it fun to think of all the possibilities?

Our Mountain View Country Club weddings can either be out next to the green or inside the club house so its a versatile location to incorporate your wedding ideas.  At the Lake View County Club your wedding could be indoors or outside on the beach or patio, again, you’re adjacent to the golf course and we’ll see what we can make happen with your requests!

Not all weddings have to be golf themed at either of these locations, and that’s okay!  We have many formal and elegant weddings at the country clubs as well as more casual and laid back.

Rustic Chic with a Country Twist: Makenzi & Josh

JM7We were recently going through some files on the computer and found some photos from a wedding we did over a year ago. Now, we have covered the top wedding trends for 2014 a couple of times. You have glam, rustic, vintage chic and many more as style inspirations for your big Lake Tahoe wedding day. Mix your desired theme with your own personal style and we give you a day to truly remember. What stood out about Josh and Makenzi’s Valhalla wedding on May 4th, 2013 is that it not only encompassed one of this year’s hottest wedding trends (rustic chic), but it also incorporated their country flare flawlessly.

Rustic Chic Wedding in Lake Tahoe

The orange, green and brown wedding colors meld perfectly with the flowers, succulents, wood rounds and overall theme. Not to photo (3)mention, it shows how Valhalla truly lends itself to any type of wedding or event perfectly. From fabulous and extravagant to vintage and rustic, the interior and exterior space is a chameleon of a wedding venue. It transforms with the decor and style and becomes the venue of your wedding day dreams.

What we love the most about these photos though, is that it showcases how we managed to truly put on a Lake Tahoe wedding that really represented the couple, their personalities and everything that is unique to Makenzi & Josh. At the end of the day, our goal is to make sure your wedding is you. Meaning, every thing from the venue to the decor to favors to the food stands out as a day that perfectly describes the bride and groom without having to say a word.

Yes, games are now being played at weddings in Lake Tahoe and beyond!

When we first heard our couples wanted to have games during their reception, we were surprised to hear the request.  But then, nothing should surprise us after performing weddings in Lake Tahoe for 20 years!

What’s great about our business is that our brides and grooms come from around the world so they bring with them many different customs, ideas and trends.   We get to share in their magical day and learn something new while doing it.  Just a few weeks ago one our couples had a shoe game during their reception so we thought we’d start researching other ideas.

Here are some ideas for games during your wedding reception in Lake Tahoe, or wherever your wedding is. Not all ideas will work with all couples since everyone is different, but perhaps they’ll trigger ideas for games that are unique to you and yours.  If you’re on Pinterest you’ll see many other ideas as this is where we got these photos to share.

lake tahoe wedding games

1.  Ring Toss   2. Wedding Table Trivia Game   3. Bean Bag Toss   4.  The Shoe Game   5.  Ad Libs    6.  Ball Toss

The Shoe Game

The couple sits on two chairs in the middle of the dance floor, back to back.  They take off their shoes and switch one shoe with their new spouse so that each has one shoe of theirs and one of their spouse. Someone that knows the couple well (or a group effort) has prepared a list of questions where the answer is either the bride or the groom.  The couple, who can’t see the other one, holds up the shoe of the person who they feel is the answer to the question.  Such as: 1.  Who snores the loudest? 2. Who has more siblings? 3. Who is the better driver? 4.  Who made the first move? 5. Who is the better dresser? 6. Who is the better cook? 7. Who though about getting married in Lake Tahoe first? 7. Who is the better kisser? You get the idea!

At times there may be a bit of a disagreement, but that is the fun part. There can be a lot of laughter and fun since your guests can see how you’ve answered but you can’t!

A Carnival

Not every wedding venue can accommodate a carnival, and not every wedding theme or couple works with this idea, but we thought it was really fun, especially if there are children involved!  An outdoor wedding venue, such as our Paradise Park venue, would be perfect for a little fun like a carnival. Have games around the space such as Wedding Ring Toss, Ball Toss and other games where you don’t have to have a person monitoring the games (unless you hire someone outside of the wedding guests or wedding party so they can enjoy the wedding too.)

Wedding Ad-Lib Advice

Many of us have played with a pad of Ad-Libs before, and what better way to add some extra fun to your wedding day than with and Ad-Lib game you create (or purchase).  Your guests can give you all sorts of advice by filling in the blanks!

Wedding Couple Trivia

Your wedding guests know you and love you, that’s why they’re there!  Lets see how well they know you with a trivia game. Create a game full of questions about the couple, their relationship and even their jobs and friends.

Wedding Song Bingo

Create bingo cards with all of the songs the DJ or band will be playing on them. Each table will have one card and they will mark off each song that is played.  Then the first table with BINGO gets a prize. Instead of markers you can have little rings to cover the song names too!

Photo Booth

These are always fun.  There are a couple of photo booth operators in the area so we can book them for your Lake Tahoe wedding. We think its really fun when the photographer brings a lot of props and dress up clothing and accessories.  Or, perhaps you have a theme wedding and all that is supplied with the photo booth match your theme.  Let’s say your theme is rustic, then maybe all of the “dress up clothes” at the photo booth are cowboy and cowgirl related.

Table Theme Photos

The people sitting at one table are given a task to come up with a theme idea for a group photo such as a TV Show, movie, musical group.  Have props and suggestions ( to help those that might not be able to come up with an idea) and then the group acts out the theme and a photo is taken. Then they all take home a souvenir of the event.
